How to choose SaaS for your business: a 10-point checklist

25 October 2026 · SaaS Vendor Market

Software as a service (SaaS) is easy to start with: sign up, log in, done. That also makes it easy to choose the wrong tool and only find out months later. These ten questions help you choose business software you will still be happy with next year.

1. Which problem must it solve?

Write down the two or three tasks that cost you the most time today. Compare tools on those tasks first, not on the longest feature list. A tool that does your core work well beats one that does everything a little.

2. What does it really cost?

Look past the starting price. Is it per user, per mailbox, per site or per device? What happens when you add a colleague? Are there extra costs for payments, support or additional modules? Compare the price for your situation a year from now, not just today.

3. Can you try it first?

A free trial or free plan lets you test with your own data. Use it seriously: do your real work in it for a week instead of clicking around on a demo.

4. Does it work on the devices you use?

Check that it works on your computer, tablet and phone. Browser-based software usually runs everywhere without installation.

5. Does it connect to your other tools?

Think of your webshop, bookkeeping, payment provider or Microsoft 365. Every connection that works saves you typing data twice.

6. Where is your data stored, and who can see it?

For European businesses, data stored within the EU makes privacy rules easier to meet. Ask how access is secured: two-factor authentication, roles for colleagues and an audit log are good signs.

7. Can you get your data out?

Check whether you can export your data in a common format, such as CSV or a standard invoice format. That keeps you free to switch later.

8. Who builds it, and how do they help you?

Independent makers are often easier to reach and respond faster than large vendors. Check in which languages support is offered and how you contact them.

9. What do other users say?

Read reviews from real users, especially the critical ones: they tell you what to watch out for. On SaaS Vendor Market reviews come from signed-in users, and makers cannot review their own app.

10. What happens when you stop?

Can you cancel monthly? Is your data deleted, and when? Clear answers here say a lot about a maker.

Compare side by side

On SaaS Vendor Market you can browse all software by category, compare features, prices and languages, and see alternatives for every app. You always sign up and pay at the maker, so there is no middleman between you and your software.
